Policies And Procedures
1. A completed, signed agreement must be returned to Chapel Rock before a group can be assured accommodations. In order to guarantee your use date Chapel Rock must receive your agreement and designated deposit by the date stated in the agreement.
2. For user groups of less than one hundred and fifty (150), Chapel Rock reserves the right to use available cabins for other user groups. Special care will be taken to ensure that your program and participants are not disrupted.
3. An organization or group must guarantee a minimum of twenty (20) full-time participants in order to receive food service, unless another group is already scheduled. A group will be charged for actual attendance, 90% of the estimated figure given on the agreement, or 20, whichever is greater.
4. Chapel Rock, The Arizona Church Conference Center, reserves the right to require a non-refundable deposit.
5. All user groups must provide a Certificate of Insurance naming Chapel Rock, the Arizona Church Conference Center as the additional insured. Certificates of Insurance must be on file at the Camp/Conference Center Office, 1131 Country Club Drive, Prescott, AZ 86303, prior to the use of Camp facilities.
6. Groups may request program assistance in the form of the Ropes/Challenge Course, hiking and other group activities. Arrangements and fee agreements should be made in advance through the Camp and Conference Center Office.
7. The organization or group and/or its members shall be held financially responsible for damages or loss of Camp property as a result of improper use of the Camp property and facilities. Damage, loss or cleaning charges will be based upon repair, replacement, and labor costs.
8. To minimize the risk of personal injury and/or property damage, the group’s representative must supervise participants at all times. Adult supervision is required at all times when children are present and is required in all youth cabin facilities. Buildings not specifically assigned for the use of your group are not to be used without permission.
9. Upon arrival at Camp, the leader of the organization or group should check in with the Camp personnel to discuss specific arrangements and needs. An orientation should be scheduled to acquaint the group with Camp policies. Before leaving Camp, the group’s representative should again meet with Camp personnel to confirm the number of participants, check for damage, loss, and cleanliness and verify billing information.
10. The speed limit is 15 miles per hour. Excessive speed will result in the loss of vehicle privileges on camp property. Persons may not ride in the back of pick-up trucks on camp property. Please use caution when driving through the residential areas adjacent to Chapel Rock.
11. To comply with the City of Prescott Noise Abatement Ordinance, we ask that members of the user group adhere to a 10:00 p.m. noise curfew. Supervised quiet activities are permitted past 10:00 p.m. (No lights or activity on the basketball courts after 10:00 p.m.).
12. The Prescott city code prohibits the posting of signs or handbills on public property (i.e. posters or directional signs on utility poles or street signs).
13. In keeping with Diocesan standards, alcoholic beverages are not permitted. Smoking is not permitted in any buildings or cabins. Please crush all cigarettes and dispose of them in proper receptacles.
14. Pets are not allowed.
15. To comply with insurance restrictions, cooking is not allowed in lodges or meeting rooms.
16. Firearms, ammunition and fireworks are not allowed on the premises.
17. Meals are served at 8:00 a.m., noon, and 5:30 p.m. In consideration of other participants and the staff, and to ensure service, please be punctual for meals. Minor departures from the established meal times are possible by prior arrangement. Snacks are available at an additional cost and by prior arrangement.
18. Parking is restricted to designated parking areas. Please, stay on paved roadways and respect restricted areas. Due to erosion concerns, vehicles are prohibited in cabin areas. Parking is available on the northeast side of St. Barnabas Lodge, north of the fire circle, and in the Harte Lodge parking lot. For additional overflow parking, please contact a camp staff member.
19. Emergency services are available 24 hours a day by calling 911. Paramedic units will be dispatched. Procedures as outlined emergency situation forms located by telephones. Please contact on-site personnel immediately in case of an emergency. User groups are expected to use personal vehicles for transportation of participants in non-emergency situations.
20. To avoid additional charges or incomplete presentations, the group should provide needed supplies such as extension chords, blue tape (painters tape must be used to secure items to walls), dry erase markers, etc. The group will be charged for items supplied by Chapel Rock.
21. Bicycle, skate and skateboard use is not permitted on campgrounds.
22. Participants should supply personal toiletry articles. The group should provide ice if needed.
